KeepWatch Vigil (“KeepWatch,” “we,” “us,” or “our”) provides free parish scheduling tools at https://keepwatchvigil.com, including Eucharistic Adoration scheduling, substitute coordination, reminders, and related parish communications. This Privacy Policy explains how we collect, use, and protect information when you use our website and services.

1. Information we collect

Depending on how you use KeepWatch, we may collect:

• Contact information: name, email address, and mobile phone number
• Parish affiliation: parish name/slug and optional access codes used by your parish
• Scheduling data: adoration hour commitments, substitute requests, check-ins, and preferences (email, text, or both)
• Message preferences: whether you want reminders and whether you are on a parish substitute list
• Technical data: basic log data (browser type, approximate time of access, error reports) needed to run and secure the service

2. How we use your information

We use the information you provide to:

• Create and manage your adoration schedule and substitute requests
• Send transactional messages you requested or that are necessary for the service, such as: verification codes, sign-in links, holy-hour confirmations, 24-hour reminders, substitute-request alerts, and coverage confirmations
• Allow parish administrators to send operational messages about adoration hours when authorized
• Operate, secure, and improve the KeepWatch platform

We do not use SMS for advertising or promotional marketing campaigns.

3. SMS / text messaging (important for mobile users)

If you provide a mobile number and choose text (or both) as your contact preference, or join a parish sub list with text enabled, you may receive automated text messages related to parish adoration scheduling, including:

• Verification or sign-in codes
• Holy-hour signup confirmations
• Reminders about upcoming adoration hours (typically about 24 hours before)
• Substitute-needed alerts and coverage confirmations
• Urgent operational alerts from your parish administrator (for example, open hours or chapel notices)

Message frequency varies based on your schedule and parish activity (for example, weekly reminders if you have a commitment, plus occasional sub alerts). Message and data rates may apply.

You can opt out of text messages at any time by replying STOP. For help, reply HELP or email [email protected]. You may also change your contact preference or leave the sub list in your profile or by contacting your parish coordinator.

4. How we share information

We share information only as needed to run the service:

• Your parish administrators — coordinators at your parish can see names, contact info, schedules, and sub status for ministry coordination
• Service providers that process data on our behalf (for example, cloud hosting, email delivery, and SMS delivery). These providers may process phone numbers and emails solely to deliver the messages you requested. They are not authorized to use your mobile information for their own marketing
• Legal requirements — if required by law or to protect safety and the integrity of the service

We do not sell your personal information. We do not share or sell mobile numbers to lead generators or third-party marketers.

5. Cookies and local storage

We use browser local storage and similar technologies to keep you signed in, remember your parish, and improve reliability (for example, session tokens). We do not use third-party advertising trackers.

6. Data retention

We retain account, schedule, and message-related records as long as needed to provide the service to your parish and for legitimate operational or legal purposes. You may request correction or removal of your information by contacting your parish administrator or [email protected].

7. Security

We use industry-standard safeguards appropriate to a free ministry scheduling platform (encrypted transport, access controls, and limited staff access). No method of transmission over the Internet is 100% secure.

8. Children

KeepWatch is intended for adults and parish coordinators managing ministry schedules. We do not knowingly collect personal information from children under 13.

9. Your choices

• Update name, email, phone, contact preference, sub-list status, and reminders in your profile
• Reply STOP to cancel SMS; reply HELP for help
• Request account or data changes via your parish or [email protected]

10. Changes

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change. Continued use of the service after changes means you accept the updated policy.
